Vivarium Technologies Limited ("Vivarium", "we", "us") is the data controller for the personal data described below. This policy explains what we do with personal data collected through this website and when you speak to us.

1. Information we collect

Details you give us. If you ask to speak to us, we collect your name, your email address, and the time of the meeting.

Notes from our conversation. After a call we keep a written record of what was discussed, so we can follow up and remember the context next time.

Technical data collected automatically. Our hosting provider records standard server logs, which include your IP address, your browser and the time of each request. Our font provider receives your IP address when a page loads, because the typeface is served from it.

There is no form on this site, we set no cookies, and we run no analytics. If that changes, this policy changes with it.

2. How we use your information

  • To arrange and hold the conversation you asked for.
  • To follow up afterwards, and to keep track of what we discussed.
  • To keep this website available, and to investigate abuse of it.

We do not sell your information, and we do not use it to build advertising profiles.

3. Service providers and transfers

We share personal data only with the providers we need to run the business: our hosting provider, our scheduling provider, and our email and document storage provider. They process it on our instructions and for no purpose of their own.

Some of these providers are located outside the European Economic Area. Where personal data is transferred outside the EEA, it is covered by an appropriate safeguard, either the European Commission's Standard Contractual Clauses or the EU-US Data Privacy Framework. You can ask us which applies to a given provider.

4. Legal basis for processing

Steps taken at your request before entering a contract. Your name, email address and meeting time are processed on this basis. You asked for the meeting, and we cannot hold it without them.

Legitimate interests. Our notes from a conversation, any follow-up, and our server logs are processed on this basis. The interests are running a business that has to remember its own conversations, and keeping this website secure and available. We have considered whether those interests override your rights, and you can object at any time using the contact address above.

5. Data retention

We keep your contact details and our notes from a conversation for as long as we are in active contact with you about working together, and delete them once there is no longer a reason to hold them. You can ask us to delete them sooner at any time. Server logs are kept for the period set by our hosting provider. Where the law requires us to keep something for longer, we keep it for that long and no longer.

6. Your rights

You can ask us to:

  • give you a copy of the personal data we hold about you, which includes our notes about you;
  • correct anything that is wrong;
  • delete it;
  • restrict what we do with it;
  • stop processing it where we rely on legitimate interests, including our notes and any follow-up.

You can also ask us to send you your name, email address and meeting time in a portable format, or to send them to someone else. This right applies to that booking data only, because it is the part we process in order to take steps at your request.

Write to us to use any of these rights. If you are not satisfied with how we respond, you can complain to the Data Protection Commission, the Irish supervisory authority, at dataprotection.ie.
